4. How to Backup QuickBooks (updated)
How long has it been since you backed up your QuickBooks files?
How often is regularly…?
I recommend if you enter data on a daily basis that you back up at least weekly.
If you do your data entry Monthly or even Quarterly, do a backup after each time you do data entry.
Basically as often as you don’t want to have to repeat the work if your computer crashes.
** If you ever do “lots” of data entry in one day make sure you back it up.
***Always back it up at the end of the year.

“Back Up Company”
“Create Local Backup”
“Create Backup” screen will pop up
Online Backup
Local Backup (Recommended)
Click “Next”
“Backup Options” screen will show
Click “Browse…”
“Browse for Folder” pop up screen will show
Find your external drive
Click “OK”
In “Backup options” screen,
Checkmark “Add the date and time of the backup to the file name (recommended)
“Limit the number of backup copies in this folder to ____
Click “OK”
“Save it now”
Click “Next”
“Save Backup Copy” screen pop up
Choose where you want to save it
Click “Save”
“QuickBooks Information” screen will show

Are you wanting to restore a backup to add QuickBooks to another computer?
I want to give you a few tips:
*Tip #1 Don’t forget once you open the file in a newer version of QuickBooks you cannot reopen it on an older version.
Example: If you are using 2016 and then open it in 2019, you can’t re-open it in 2016 anymore.
You can open it on more than one computer using the same version/ year of QuickBooks.
*Tip#2 When restoring a file make sure you are careful when naming the file. Watch the video for clarification.

Go up to “File”
“Back up Company”
“Create Local Backup”
“Next”
“Browse”
Click “OK”
“Complete Verification” (recommended)
Click “OK”
Click “Next”
“Save”
**Make sure you are putting the file on the computer that has the same year or newer version.

➡️ If you’re already in a company file:
Go up to “File”
“Open or Restore Company”
Choose “Restore a Backup Copy”
Click “Next”
Choose “Local backup”
Click “Next”

➡️ If you’re in a beginning phase of opening your QuickBooks file:
If your in “No Company Open” screen
Choose “Open or restore an existing company”
Choose “Restore a Backup Copy”
Click “Next”
Choose “Local backup”
Click “Next”
Browse your company file

Click “Next”
Click “Save” **Be careful in saving the file. If you use the same name it will override it. If you override it you can no longer restore it. ⚠️
If you want to override it, “Confirm Save As” pop up screen will show. Click “Yes.” Type in the word “Yes.”
